How to share PowerApps efficiently
A guide for beginners to share your powerapps applications for maximum organisational impact
So.. you've built your first Canvas Powerapp. Now is the time to let your users know you have the magical solution to their problems.
You need to share. But there are 200000 users you need to get your app to. How will you do that? Here's how.
Approach 1 using Entra ID:
Create Azure AD (Entra ID) Security group - IT involvement will be needed but this will be quite simple.
Add users to the security group.
Share the app and the data sources with the AD group via the UI, you can do so quite easily with most data sources.
Approach 2 using traditional share:
PowerApps now have a pretty simple UI so you can share the apps with users quite easily via the interface. Though this does scale quote well. You can use this guide to automate this process as well.
That's it folks, now what you need to do is:
When you share the app with users, ensure they are trained properly or they receive training materials with the application link. It's also a good idea to have a “Help” tab within the application. This reduces the number is tickets you will receive.
Also, ensure that you run regular sessions with users and look at the dashboard for application usage via the PowerApps details page or the compliance centre so there's no gaps in your adaption understanding.
